HVAC service calls: how to get paid before you leave the driveway

A capacitor swap takes thirty minutes. Waiting a month for the check shouldn't be part of the job. Here's how HVAC techs collect on the spot.

Most HVAC service calls are quick: a capacitor, a contactor, a refrigerant top-off, a thermostat. The work takes under an hour, but for too many companies the payment takes weeks of invoices, reminders and awkward calls.

The best moment to get paid

The customer is happiest the moment the cold air starts blowing again. That's when to send the invoice: mark the job done, text the link, and they pay by card from their phone before you've coiled your hoses.

A payment link on the customer's phone gets paid. A paper invoice goes on the fridge and gets forgotten.

Deposits on installs

For system replacements, you're ordering thousands of dollars in equipment. Collect a deposit by card when the customer accepts the quote, and the balance on install day. It protects your cash flow and confirms the job is real.

Keep one list of who owes you

  • See every unpaid invoice and how many days it's been open.
  • Resend reminders by text or email with one tap.
  • Export everything for your bookkeeper at month end.

Getting paid the same day isn't pushy. It's making payment the easiest part of the customer's day.
