Quoting a full system replacement: the estimate that wins the job

A new furnace or AC system is one of the biggest purchases a homeowner makes. Here's how to quote it so they say yes to you, not the cheaper stranger.

When a fifteen-year-old air conditioner dies, the homeowner is about to spend several thousand dollars they didn't plan on. They'll get two or three quotes. The company that wins usually isn't the cheapest — it's the one whose quote was clearest.

Give them options, not one number

A single price forces a yes-or-no decision. Three options let the customer choose how to say yes: a solid standard-efficiency system, a mid-range option with a better warranty, and a high-efficiency system with lower energy bills. Most people pick the middle.

  • Separate lines for the equipment, the labor, permits and the old unit haul-away.
  • The efficiency rating and expected energy savings for each option.
  • Photos of the old system, especially rust, cracked heat exchangers or burnt wiring.
  • The warranty in writing: yours and the manufacturer's.
  • A deposit they can pay by card to lock in the install date.

A photo of a cracked heat exchanger ends the repair-versus-replace debate faster than any explanation.

Speed still wins

A family without air conditioning in August won't wait three days for your estimate. The quote that arrives the same day, clear and complete, is the one that gets signed.
